How To Write A Letter: Letter Writing 101 - Jimmy Hall (404-580-1501)

We all have to write letters or notes, even if they are amid e-mails or in other online capacities; and, business correspondences are a given for white collar office workers. The question is, how to write write a letter that gets the results you want when letter writing.

First of all, make sure you are writing the letter to the correct person, only someone that can truly help you resolve the situation or put you in contact with someone that can. Don't just vent to anyone. There should be a correlation between the desired action/outcome and the letter reader. 

Secondly, provide an organized and logical account of the information pertaining to the situation. Be a teacher to the recipient of the letter. Come across as informed and rational and an expert about the dilema. 

Third, make sure that you know precisely how you want the situation the letter is written about to be resolved. What is the objective of your letter? Are your expectatations reasonable? State your desired outcome. Be factual, and be persuasive.

Fourth, state a desired time-frame for action, and make sure the next step in the communication-process is clearly defined. Never leave anything open-ended, or left to chance.

Lastly, regardless of the tension or feelings you have toward the reader, thank them for their time and consideration in reading the corrrespondence. Being nice might work wonders for you. Try and enjoin the reader, demonstrating how your solution might benefit them. 

If you will follow the above steps, you will have a really good chance at obtaining the outcome you desire; however, in life there are few guarantees....
